Apply4Study values your privacy and is committed to protecting your personal data. This Privacy Policy explains how we collect, use, and safeguard your information when you use our website, mobile application, and services.

1. Information We Collect

We collect information you provide directly (e.g., name, email, phone, academic details), as well as data automatically gathered through analytics tools, cookies, and third-party integrations such as Razorpay for secure payments.

2. How We Use Your Information

We use your data to:

• Provide and personalize learning services
• Process secure payments via Razorpay
• Send updates, newsletters, and support messages
• Improve user experience through analytics

Contact and study information submitted through education-service inquiry forms is used to respond to the request and is scheduled for deletion after five years. It is not used for marketing unless you separately opt in.

To help protect accounts and investigate suspicious access, we record the IP address and browser user-agent for registration and sign-in events. We use a local IP lookup database to estimate a broad city and state/region from the IP address; this estimate can be inaccurate and does not identify a precise location. We do not send your IP address to an external geolocation service for this lookup.

3. Data Security

We use SSL encryption, secure databases, and PCI-DSS-compliant payment processing via Razorpay to safeguard all personal and financial data.

4. Cookies & Tracking

Essential storage supports core site functions. With your permission, Google Analytics uses optional cookies to measure site usage. You can accept or reject optional cookies in the cookie notice and change your choice at any time using Cookie settings in the site footer. Your browser settings also let you clear or block cookies.

5. Sharing of Information

We never sell or rent your data. Information may only be shared with:

• Authorized service providers (e.g., Razorpay, AWS, SendGrid)
• Legal authorities, if required by law

Course AI study tools

If an eligible learner or their parent/guardian enables course AI study tools, the course name, a learner’s question, assessment topic details, and up to 12,000 characters of course text explicitly approved for external AI processing may be sent to Groq, the configured external AI service, to provide a coach response or generate original practice questions. The course-coach application does not save AI coach questions or responses. Generated practice questions and submitted practice answers are stored for up to 24 hours so the practice attempt can be scored, then removed automatically. Groq may process or retain submitted course material under its own terms and privacy practices. Do not submit names, contact details, or other personal or sensitive information. A learner or parent/guardian can turn off access in the relevant account controls; a request already sent may continue to be processed by Groq. Other AI features have separate handling.

6. Your Rights

You can update eligible profile details from your account, download an account data export, and submit an access or deletion request from the account privacy controls. Requests are reviewed manually. Submitting a deletion request does not automatically delete an account or data; we review applicable retention requirements before acting.

7. Accounts for Learners Under 18

Public account registration is for adults who confirm they are 18 or older. A parent or guardian must create a separate learner login for anyone under 18. The parent account provides the learner’s first name, an optional last name and grade band, and creates the learner username and password. We do not ask for a child’s date of birth or identity documents in this flow.

A newly created learner account remains inactive while an administrator manually reviews the guardian-consent request. The review may use the parent account’s contact details. The learner can sign in only after approval. A parent can view the linked learner’s course progress, pause sign-in, download the learner’s learning data, and submit access or deletion requests. These controls do not remove any retention obligations that may apply.

Learner account data can include the account details supplied by the parent, the optional grade band, enrolled courses, progress, assignment submissions and assessment results. Access to a learner profile and progress is restricted to the linked parent account and authorized platform administrators as described in this policy.

8. Updates to This Policy

This policy may be updated periodically. Changes will be reflected on this page with the revised effective date.
